Export, Import, and Printing
Get your runsheet out of the app and into the control room. Print, export, import, or share a link.
Printing
From the dashboard, open the menu on any runsheet and select Print. You can also print from the preview step when editing, or from a shared read-only link. All three open the same Print / PDF dialog, where you pick a format and choose what goes on the page. Your choices are remembered for next time.
Three formats
Different people in a production need different documents off the same runsheet. Pick the one that matches who is holding the paper.

What to include
The dialog has an Include section that applies to whichever format you picked:
- Guests adds guest names to each segment.
- Location adds the location for segments that have one.
- Act column adds a blank column for writing actual times on air. Technical format only, because it is the only one built as a working document you mark up.
Technical has one more section, Note columns, with chips for Audio, Video and Large type. One note column plus large type makes a department sheet for the booth.
Producer and A/V Script have no blank actuals column. They are reference documents for during the show, not sheets you write timings onto. If you want to record what actually happened, use live tracking and print the post-show summary below.
Live show summary
This one is separate and easy to miss. It is not in the Print / PDF dialog. After you end a live show, the post-show screen has an Export button that prints a portrait summary of what actually happened: planned duration against actual start, actual stop, actual duration, and the delta for every segment, over or under.
It is a report rather than a working document, so it carries no guests, locations or notes. Print it for the post-mortem, not for the gallery.
Every print format carries a small Generated with runsheetapp.tv credit line in the footer.
Printing and exporting are different things. The formats above are visual documents for paper and PDF. If you need the data back out in a form another tool can read, use CSV or JSON export below.
Exporting
From the dashboard, open the menu on any runsheet and select Export. Choose a format:
- Spreadsheet (.csv) includes computed start/stop times and all segment fields, ready to open in Excel or Google Sheets. Useful for sharing with team members who don't use Runsheet, or for pulling data into other production tools.
- Backup File (.json) downloads a full runsheet backup with all show info, segments, and production details. The best format for sharing complete runsheets between producers or keeping backups.
Importing
Click Import on the dashboard to open the import modal. You can upload a file or paste text. JSON backup files are imported directly with no processing needed. CSV, Excel, and text files are processed through Smart Build (see below). Imported runsheets get new IDs so they don't conflict with existing ones.
Smart Build
Smart Build uses AI to convert unstructured text or files into a complete runsheet. Smart Build is a Pro feature that requires a free Runsheet account. Click Import on the dashboard, paste text or upload a file, then click Smart Build to process it.

Smart Build detects the format automatically. You'll always get a chance to review and adjust before the runsheet is created.
Social media profiles
When importing guest data, Smart Build identifies each guest's social handles and labels them by platform. Each network appears on its own line:

Platform names are read from column headers or URL patterns in your data. If a handle has no platform context, it's labeled Social: @handle.
Event extraction
Smart Build detects events a guest is promoting and attaches them to the relevant segment. An event is extracted when it has a specific name, a date or time reference, and either a venue or a call to action (buy tickets, register, RSVP, etc.).

A guest mentioning their organization or a vague upcoming appearance without a date does not qualify.
Image and asset detection
Smart Build scans your input for image URLs and attaches them to the relevant segment. It detects links ending in .jpg, .png, .webp, and other common image formats, as well as links from known file hosting services. Any credit or attribution text near a URL is captured alongside it.
Privacy note: When you use Smart Build, your text or file is sent to our server, which forwards it to Anthropic's Claude API. Your content is only used to generate the runsheet structure. It is not stored on our servers and is not used for AI training.
Shareable links
Share a read-only link to any runsheet. From the dashboard menu, select Share Link to generate a URL. Anyone with the link can view the runsheet without signing in or creating an account. They can't edit or change anything. Sharing requires a free Runsheet account.
Shared links are useful for sending a runsheet to crew members, talent, or stakeholders who need to see the show plan but don't need to make changes.
Duplicating runsheets
From the dashboard menu, select Duplicate to create a copy of any runsheet. The copy gets a new ID and can be edited independently. This is useful for creating variations of a show or templating a recurring format.
